Privacy and Cookies Policy

Here is how we protect and use personal data we collect from you when you use our e-Learning Courses application. The application is operated by e-Learning Consulting, LLC, Port Orchard, WA 98367, USA.

What data do we collect?

  • Personal identification information (name, email, phone and title). Your name and email is required to use the features of our application.
  • Courses assigned to you.
  • Your course progress, quiz answers, scores, completions and certificates.
  • Courses, packages and groups you create.
  • Membership in a group and your role in a group.
  • Your IP address, country, preferred language and the date of your last login.
  • Delivery events for emails we send you, such as delivered, opened or clicked, with the IP address, approximate location and device used.
  • Billing details if you make a payment. Card details are handled by Stripe and are not stored by us.
  • Error logs that link technical errors to your account.

When do we collect your data?

  • If an organization gave you access to our application, that organization is the controller of your data and we process it on its behalf, following its instructions. If you created your account yourself, we are the controller of your account and billing data. We will assist with GDPR obligations if requested.
  • When you create an account or an account is created for you.
  • When you sign in through your organization's single sign-on, we receive your name and email from its sign-in provider.
  • When a package is assigned to you.
  • When you assign a package and when you create a course, package or group.

How will we use your data?

We do not sell your data to third parties. We only use your data to drive the functionality of the application:

  • Manage accounts, courses, packages and groups. The administrators of the organization or group that made a course available to you can see your name, email, course progress, results, certificates and whether emails sent to you were delivered and opened. They see this in reports and can access it through our API, in the country where they reside.
  • Notify you via email when a package is assigned to you, you are assigned as an admin or there is action to take in your account.
  • Each certificate has a verification link and QR code. Anyone who has the link can see the name, course, organization and dates on the certificate.
  • Your data is stored in Azure data centers in the United States of America. Email is sent by Mailjet from servers in Germany. All traffic to our application passes through Cloudflare. Payments are processed by Stripe and text messages (SMS) are sent by Twilio. These subprocessors provide the same level of protection of data as we do and are ISO 27001 or PCI DSS certified.
  • Your data is stored until you delete your account. Invoices and payment records are kept for 7 years and error logs for 90 days.

How do we store your data?

We securely store your data in encrypted databases in Azure datacenters. We protect your data using best practices in cyber security. Your data is transmitted to our data center from your browser using HTTPS. We keep your data until you delete your data or delete your account.

Marketing

We will send you marketing emails only if you have created an account to publish courses.

What are your data protection rights?

Every person who has an account on our application is entitled to the following:

The right to access – You can see all of the data we collect about you when you log into your account.

The right to rectification – You can correct any information you believe is inaccurate by changing your profile in your account.

The right to erasure, restrict processing and object to processing – If you delete your account all of your personal data will be removed. After your account is deleted, there will be no additional processing of your data.

The right to data portability – When you log in you can copy all data related to you. You can also request a copy of your data from us.

If you request our help with these rights, we have one month to respond to you. You can request our help from our Data Protection Officer (DPO) through email at [email protected]. You may lodge a complaint with a supervisory authority.
